Terms & Conditions

At the time of booking, you (the Client) agree to complete necessary forms in a prompt manner, at least 48 hours prior to any scheduled hike. This is to ensure that any health or fitness concerns can be addressed prior to the day and failure to do so or to disclose information may result in refusal to participate.

Given the environment that the hikes are conducted in, there is an inherent risk of hiking in bushland/coastal areas. The following terms and conditions along with the Liability waiver are to highlight the dangers associated with the undulating trails and wildlife including venomous snakes and spiders. Whilst the risks are minimal, all clients are required to read, sign and return waivers, failure to do so could result in refusal to participate. Should you have any questions, I invite you to address these with me.

 

Variations & Cancellations

HOLISTIC HIKES (Amanda) strives to provide its clients (you) with an enjoyable and safe hike.  Occasionally unforeseen circumstances (including adverse weather conditions or an insufficient number of clients for us to run the hike) require us to alter the location, date, or cancel hikes. 

​We retain the right to do any of these things within short notice however, where practical we will endeavour to provide you with notice of alterations or cancellations within an adequate timeframe.   We require a minimum of 4 clients to run a hike. If we need to cancel a hike due to there being less than 4, we will endeavour to provide you with at least 12 hours' notice of such cancellation or provide the option of alternative hikes.

If HOLISTIC HIKES cancels a hike, we will work with you to book you on a different date. If however, you are not able to attend a trip on a different date, we will provide you with a full refund of any trip fares already paid.

If cancellation is initiated by you (the client), a minimum of at least 48 hours' notice is required for any cancellation of booked hikes, this includes illness and other factors out of Holistic Hikes control.

If you fail to show up for a hike or cancel within 24 hours, particularly in the case of special events (addressed in further details below), where we cannot fill your place and have catered and incurred costs to us (holistic Hikes),  there will be no refund or credits applicable. 

If for a valid medical reason, a medical certificate is required to be emailed to amanda@holistichikes.com  and a refund fewer administration fees will be issued. This is at the discretion of HOLISTIC HIKES.

Where HOLISTIC HIKES & the client are unable to immediately reschedule any cancelled hikes initiated by the client, a refund will automatically be issued less 10% admins fee. All credits are required to be applied to future bookings at the time of cancellation.  All future hikes are subject to booking and strictly limited numbers per hiking group.

No refunds will be provided due to alterations to any aspect of the hikes.

 

 

Event Cancellations

In the event that HOLISTIC HIKES cancels/postpones an event, the money will be credited in full or refunded less than 3.5% for financial fees incurred. ​

If clients (you) cancel or pull out from an event such as a day or retreat weekend, special conditions apply to the cancellations due to the nature of the booking. If a replacement person can attend the ticket will be transferable under the HOLISTIC HIKES description due to the nature of fitness and age requirements.

If you cancel your attendance at a day event within 14 days, a refund will be issued for less 20% fee, unless a replacement can be found by yourself. They must meet the criteria required for Hiking for health and fitness and is at the discretion of Holistic Hikes. If a future hike cannot be rebooked with the credit at the time of booking, a refund will be automatically applied.

Where cancellations are made by the client for 15 days or more for day events, a 10% administration fee is applicable to the refund.

Weekend and overnight hiking events are to be paid in full 60 days prior or risk cancellation by HOLISTIC HIKES. This payment ensures that we can provide all the necessary supplies, food, and gear for each hike.  The balance of payments and refunds are addressed below.

In the circumstances that you cancel prior to paying the balance of the final payment (generally 60days prior) a 20% administrative fee will be deducted from your deposit and refunded through the method in which you paid. 

If the full amount has been paid, the following applies:

  • Within 14 days of the event – No refund due to lack of income and late notice

  • Within 15-30 days of the events- 30% refund of monies paid

  • 31-60 days from event- 40% refund of monies paid

 

This is due to the overhead costs of booking fees, licenses, staff, supplies, and other costs incurred by HOLISTIC HIKES to assist in the loss of wages due to late cancellation.

Where a replacement can be found by the client who canceled and hiking requirements assessed and met, your booking can be transferred. Transfers of payments are the responsibility of the client and must be paid in full in order to transfer. 

Due to the nature of administrative paperwork, no credits will be kept, refunds are automatically issued upon written confirmation of cancellation.

It remains the responsibility of the client to rebook for future hikes/events.

Hike Pass​

Hike Passes are to be used in a stipulated time frame, such as they are valid from the day of purchase for 3/6/12 months depending on the package purchased. Any unused hike passes expire at the end of the validity period unless prior contact and confirmation of extension are made directly with Amanda - Holistic Hikes. It is at the discretion of Holistic Hikes to extend this in extenuating circumstances. Minimum bookings required for all hikes and where a booked hike is canceled will be rescheduled to ensure that entitlement is received. The hike passes the remaining balance can be used towards another Holistic Hikes service or event to the dollar value with the balance due where required.  

 

 

Hikes Loyalty Program
  • Points are not redeemable for cash or gift card

  • Any refunds result in the loss of points to the dollar value of refund

  • Points are not transferrable, personal use only

  • Points can be used for all products or hiking adventures

  • Points do not expire and can be accumulated to the total value of a hiking trip. For example, if you have saved 1600 Adventures points, you can choose to book a day event to the Value of $160 with all your points

  • Any use of points to book events is subject to availability. Small group events mean that this book out quickly

  • Reviews are rewarded points for those only who have hiked with us. A client can leave a google review, Instagram share/tag and Facebook review and receive allocated points for each.

  • Points for reviews/shares are per experience

  • Points for birthdays are for those who have completed the Personal Information and waiver form (clients booked for hikes) – this captures your birthdate. These are not backdated

  • Adventure points loyalty program points are activated from the 30th September 2022 onwards, no previously booked or purchased products attract rewards

  • Where products are redeemed in full with the use of points, postage payment still applies

  • Holistic Hikes reserves the right to change or alter the terms and conditions at anytime

  • Points only redeemed after payment of hike, pay pal offline, etc.

  • If points used and refund issued on hike, refund will be deducted from redundancy to dollar value and any admin fee associated 

Direct Debit

A booking deposit for events is required prior to the direct debit schedule being confirmed.

Full payment of events such as retreat or pack hiking weekend must be paid in full prior to commencing 

Weekly or fortnightly payments can be made by arrangement with associated transaction fees including any dishonour fees to be paid by the client, you.  

Cancellation prior to the event attracts a $40 admin fee in addition to the outlined conditions mentioned above in event cancellations. This is to ensure that administrative and cancellation fees are covered.

Promotions

 

HOLISTIC HIKES retains the right to cancel or withdraw any discounts or promotions without notice. Any written promotions or discounts offered in emails expire within 2 weeks or unless otherwise stated.

 

Minimum Age & Fitness​

Hiking With Kids - all ages are welcome and to be supervised by their parents/guardians at all times. Holistic Hikes requires health and liability forms to be completed by parents prior to the hike. These are aimed at 5-10-year-olds, other ages welcome at parents discretion.

We do not permit clients less than 18 years of age unless accompanied by a parent or guardian, in which event they must be 15 years of age and meet fitness requirements.

 By booking a walk with us you represent to us that you are at least 18 years of age, or you are accompanying a younger person that meets requirements.

It is your responsibility to ensure that you are physically fit enough to participate in a hike with us. If you have any questions about the fitness levels required, please ask us before you book the hike.

By booking a hike with us you represent to us that you are physically fit and capable of participating, and there are no health-related reasons or problems which preclude your participation in the walk.

HH Health and fitness assessments are required to be completed & returned prior to registered/ booked walk. This ensures that I have pertinent information regarding health and fitness levels. Failure to provide prior to the hike may result in cancellation and no refund issued.

 

Holistic Hikes Liability Outline​

You acknowledge and agree that participation in walks with HOLISTIC HIKES has inherent risks, dangers, and hazards, and may result in injury or illness including, but not limited to bodily injury, disease, strains, fractures, partial and/or total paralysis, death or other ailments that, could cause serious disability, and by booking a walk with us you assume all risks and dangers and all responsibility for any losses and/or damages that may arise during your participation in a walk with us.

At the time that you book a walk, on behalf of yourself, your personal representatives and your heirs, you voluntarily agree to release, waive, discharge, hold harmless, defend, and indemnify HOLISTIC HIKES and all its officers, employees and contractors from any and all claims, actions or losses (including those that arise due to HOLISTIC HIKES negligence or carelessness) for bodily injury, property damage, wrongful death, loss of services or otherwise which may arise out of your participation in walks with HOLISTIC HIKES, we will require that you sign a written waiver and release of liability. Failure to do so may result in refusal to participate and retention of part/ all of monies paid.  (A notification period of at least 48 hours applies)

 

Communication & Photography​

You may be photographed or filmed, and you agree to allow your photography, video or film likeness to be used for any legitimate purpose (including social media platforms, website, and newsletters) by HOLISTIC HIKES, to inspire others unless you provide specific written notification to the contrary.

Any disputes and grievances are to be put in writing and will be dealt with accordingly.
